What is a typical process for a legal spend management program?

Stuart Maue’s process is tailored to meet the needs of each client. A typical legal bill review process may consist of the following workflow:

  • Law firms and vendors upload invoices and budgets (if requested by the client) through Stuart Maue’s law firm invoice application. LEDES format is the industry standard and allows for the fastest processing. Stuart Maue has a full-time staff of customer service representatives to assist firms with the invoice and budget upload process.
  • Depending on the client’s request, invoices are reviewed through Stuart Maue’s e-billing application and sent for final review to the client or sent for payment. If the client requests a more detailed analysis, Stuart Maue attorneys and accountants review the fee and expense entries to identify additional firm billing that may violate your billing guidelines, or are inconsistent with ethical rules of professional responsibility, industry standards, or other relevant authority. The client has the ability to review the results and modify, delete, add to, and/or comment on Stuart Maue’s findings.
  • lnvoice payment can be handled several ways: Stuart Maue has the ability to integrate into the client’s AP system, Stuart Maue can provide payments via the Automated Clearing House (ACH) network, or the client can arrange for payment to the law firm or vendor.

Do you have a customer service department to assist law firms with questions regarding their LEDES files and uploading invoices and budgets?

Does a client have someone assigned to manage their program and answer day-to-day questions regarding a legal spend management program?

Yes. Stuart Maue’s dedication to service is our number one priority. We assign each client a program manager who is available to answer daily questions as well as consult with you regarding your reporting and analytics.

Is there a cost to law firms to upload their invoices into your law firm portal?

No, there is no cost for a law firm to upload invoices through the Stuart Maue law firm portal.

Can you help with drafting billing guidelines or improving billing guidelines?

Yes, Stuart Maue can assist in drafting billing guidelines for a client or reviewing current billing guidelines and offer suggestions on best practices.

How long does an implementation take?

Most implementations are completed within 30 days depending on the scope of the program.

What type of reports/analytics do you provide?
